Project Administrator
The HSI Solar, LLC Commercial Solar Project Administrator will be responsible for all project deliverables, including managing lower-tier resources, budget allocation, and project schedules. Must provide excellent management and communication skills while strengthening and maintaining client relationships throughout the delivery of the project.
RESPONSIBILITIES:
- Ability to assist with multiple projects and tasks simultaneously while paying strict attention to detail
- Assist Project Management Team in preparation of emailing bid packages, assembling quotes, ordering drawings, etc.
- Organize current drawings, bids, etc. in appropriate project Delivery folder during the Development Agreement Phase
- Prepare initial job file; organize quotes and other related estimate material into job file
- Throughout project progression, responsible for preparing and mailing plans/drawings as directed by Project Manager
- Process and forward subcontract and purchase order paperwork
- Responsible for initial vendor setup for accounting
- Responsible for collecting and tracking subcontractors’ contract-required documentation (W9, Safety Manual, Insurance, etc.)
- Process and log submittals, track and contact vendors/engineers to expedite
- Assist with Proposed Change Orders (PCOs) and Change Orders (COs) as directed by the Project Manager
- Process and assist with Project Close Out
- Create O & M manuals at the direction of the Project Manager
- Perform general project administrative responsibilities
- Support and provide documentation to lead on Project USDA REAP Grant Applications
- Support with completing project Booking Documents
- Assist Project Manager with importing and setting up projects in Project Management Software
- Assist Project Manager with project invoicing (AP/AR)
- Complete Credit Applications
Office Administrator
The HSI Solar, LLC Office Administrator will facilitate operations across the organization’s office, undertaking administrative tasks and ensuring the rest of the staff has adequate support to work efficiently. The Office Administrator ensures the smooth running of our company’s offices and contributes to driving sustainable growth. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.
This position will be in the office during normal business hours, Monday through Friday.
RESPONSIBILITIES:
- Receive and distribute communications via mail, email, and phone calls
- Collect and mail correspondence
- Serve as primary administrative contact with Workplace team regarding rent billing and conference room scheduling
- Maintain databases and records with personnel, financial, and other data
- Keep stock of office supplies and place orders when necessary
- Assist bookkeeping with invoicing, monitoring accounts receivable, and budget tracking
- Manage agendas and travel plans
- Assist colleagues as opportunities arise
- Possible travel to the post office and/or bank
- Update general office files and website if needed
- Basic personnel administration
- Facilitate office activities and operations to secure efficiency and compliance with company policies


Project Manager
The HSI Solar, LLC Commercial Solar Project Manager will be responsible for all project deliverables, including managing lower-tier resources, budget allocation, and project schedules. Must provide excellent management and communication skills while strengthening and
maintaining client relationships throughout the delivery of the project.
RESPONSIBILITIES:
- Manage project handoff from Sales team
- Prepare project schedules, including project preconstruction, progress, and closeout meetings
- Manage all project-required permitting with lower-tier delivery partners
- Allocate project budget, costs to date, and monthly financial forecast to completion
- Monitor and maintain project construction schedules with project team and customer
- Manage contracts and change orders
- Manage purchases of project-related materials and equipment
- Maintain a full understanding of all contractual obligations for the project and documentation of variances
- Ensure the project team and all associated subcontractors understand and adhere to the client contract, associated exhibits, and project-specific agreements
- Demonstrate ability to solve problems as they arise
- Manages quality control program to ensure processes are implemented according to the plan and are consistent
- Collaborate with all internal teams as necessary to ensure project process flow
- Work with the management team to improve processes
- Working knowledge of technical, administrative, and management of all project phases
